Data Deletion Policy

Foster and Ince Cruise Services Inc. ("Foster and Ince Cruise Services", "we", "us", or "our") is a cruise service agency that arranges tours and excursions on behalf of cruise ships and their passengers.
Foster and Ince Cruise Services operates a web application that helps coordinate tour arrangements with vendors and venues participating in those tours. The application uses the WhatsApp Business Platform to send operational notifications to vendors and venues regarding scheduled tour visits.
This Data Deletion Policy explains how individuals can request deletion of personal information held by Foster and Ince Cruise Services in connection with this application.
1. Information Held by the Application
The application may store contact information relating to tour vendors and venues, including:
Business or venue name
Contact persons' names
Email addresses
WhatsApp telephone numbers
This information is stored in Foster and Ince Cruise Services' cloud-hosted, MySQL-compatible database.
2. Guest Information Is Not Stored
The application does not receive, process, or store individual guest or passenger information.
The application only receives aggregate attendance information required to notify a venue of an upcoming visit.
For example, a notification may contain:
10 adults, 2 children, 1 infant, 1 guide and 1 escort
The application does not associate these numbers with individual guests and does not store guest names, email addresses, telephone numbers, passport information, or other individual guest information.
Consequently, there is no individual guest information within this application for a person to request deletion of.
3. Who Can Request Deletion
A vendor or venue contact may request deletion of personal information that Foster and Ince Cruise Services holds about them in the application.
A request may be made by the individual concerned or, where appropriate, by an authorized representative of the relevant business or venue.
Foster and Ince Cruise Services may take reasonable steps to verify the identity or authority of the person making the request.
4. How to Request Deletion
To request deletion of your personal information, contact Foster and Ince Cruise Services Inc. at:
Please provide sufficient information for us to identify the relevant contact record, such as:
Your name
Your business or venue name
Your email address
Your WhatsApp telephone number
Please state clearly that you are requesting deletion of your personal information.
You do not need to provide a password or other unnecessary sensitive information when submitting a deletion request.
5. What Happens After a Deletion Request
After receiving and verifying a deletion request, Foster and Ince Cruise Services will identify the personal information associated with the requester.
Where appropriate, Foster and Ince Cruise Services will:
Delete the relevant personal information from the application's active database; or
Anonymize the information so that it can no longer reasonably be associated with an identifiable individual.
This may include deleting or anonymizing:
Contact names
Email addresses
WhatsApp telephone numbers
Other identifying contact information held by the application
Deletion or anonymization will be carried out within a reasonable period after the request has been verified.
6. Information That May Need to Be Retained
In certain circumstances, Foster and Ince Cruise Services may need to retain limited information where required by law, necessary to establish or defend legal claims, or necessary to maintain the security and integrity of its systems.
Where retention is required, Foster and Ince Cruise Services will limit the retained information to what is reasonably necessary for that purpose and will delete or anonymize it when the applicable requirement ends.
7. Previously Delivered WhatsApp Messages
A deletion request applies to personal information held in Foster and Ince Cruise Services' systems.
Foster and Ince Cruise Services cannot directly delete a WhatsApp message that has already been delivered to a vendor or venue through WhatsApp. Previously delivered messages are subject to WhatsApp/Meta's functionality and applicable policies.
Deleting or anonymizing a vendor or venue contact from Foster and Ince Cruise Services' database will prevent the deleted contact information from continuing to be used by BooBoo for future notifications, subject to any information that BooBoo is legally required to retain.
8. Email Notifications
Foster and Ince Cruise Services may send operational notifications to vendors and venues by email.
Where an email address is deleted from Foster and Ince Cruise Services' application database, it will no longer be used by the application for future operational notifications, except where retention or continued use is required for a legitimate operational or legal purpose.
Foster and Ince Cruise Services does not maintain a separate sent-mail archive within the application for these operational notification emails.
