Caribbean Webmasters Inc. ("Caribbean Webmasters," "we," "us," or "our") respects your privacy and is committed to protecting the personal information that we collect and process.

This Privacy Policy explains how we collect, use, store, disclose, and protect personal information in connection with CWI WhatsApp Notifications (the "App").

The App is a business communication and notification system operated by Caribbean Webmasters Inc. It is designed to send operational notifications through WhatsApp to authorized members of our staff and established third-party vendors who have opted in to receive such notifications.

We seek to collect and process only the information reasonably necessary to provide the App's notification services.

2. Who We Are

Caribbean Webmasters Inc. is based in Barbados and processes personal information in accordance with applicable data-protection and privacy laws, including the Barbados Data Protection Act, 2019–29, where applicable.

3. Purpose of the App

The App is used for legitimate business and operational communications between Caribbean Webmasters Inc., its staff, and established third-party vendors.

The primary purpose of the App is to provide vendors and staff with timely operational updates concerning guest transportation and attendance.

For example, the App may send notifications such as:

  • "42 guests are arriving."

  • "The bus has been dispatched."

  • "The expected guest count has changed to 38."

The information communicated through the App is generally aggregate operational information.

The App does not normally include the names, telephone numbers, addresses, or other identifying information of individual guests in these notifications.

The App is not intended to be a general-purpose social networking, advertising, or consumer messaging application.

4. Information We Collect

We collect and process information that is reasonably necessary to operate the App and deliver business notifications.

This may include:

Contact Information

  • Names or business identifiers of authorized recipients;

  • Telephone numbers;

  • WhatsApp telephone numbers;

  • Vendor contact information; and

  • Information indicating whether a contact has opted in to receive notifications.

Notification Information

We may collect and store information associated with notifications, including:

  • Message content;

  • Aggregate guest counts;

  • Transportation or bus dispatch information;

  • Vendor information;

  • Notification recipients;

  • Date and time of notifications; and

  • Notification or delivery status.

Technical and Operational Information

Depending on how the App is configured and used, we may also process limited technical information necessary to operate and maintain the App, such as:

  • Delivery status;

  • Error information;

  • System logs;

  • Security-related information; and

  • Information necessary to troubleshoot technical problems.

We do not intentionally collect the personal information of individual guests through the App when such information is not required for the notification service.

In particular, guest notifications are generally limited to aggregate information, such as the number of guests expected at a vendor's location.

5. How We Obtain Contact Information

The App is used to communicate with people with whom Caribbean Webmasters Inc. has an existing business relationship.

Recipients of notifications are limited to:

  • Authorized internal staff; and

  • Established third-party vendors or vendor contacts with whom we have a business relationship.

Vendor contacts receive notifications only after opting in to receive notifications.

We use their telephone and WhatsApp contact information for the purpose of sending the operational notifications they have agreed to receive.

A recipient may request that we stop sending notifications to them at any time.

6. How We Use Personal Information

We use personal information collected through the App for legitimate business and operational purposes, including:

  • Sending WhatsApp notifications to authorized staff and opted-in vendor contacts;

  • Communicating changes in aggregate guest attendance numbers;

  • Informing vendors when transportation has been dispatched;

  • Coordinating guest transportation and vendor operations;

  • Maintaining records of notifications that have been sent;

  • Confirming or troubleshooting notification delivery;

  • Maintaining and securing the App;

  • Preventing misuse or unauthorized access;

  • Responding to support requests;

  • Complying with applicable legal and regulatory obligations; and

  • Protecting our legitimate business interests where permitted by applicable law.

We do not use the information collected through the App for unrelated advertising or marketing purposes.

7. WhatsApp and the Meta Cloud API

The App uses the WhatsApp Business Platform Cloud API, provided by Meta, to deliver WhatsApp notifications.

To send a notification, information necessary for delivery may be transmitted to Meta. This may include the recipient's WhatsApp telephone number and the content of the notification.

The App does not use Meta Login, Facebook Login, or other Meta APIs for authentication or unrelated functionality.

Meta operates its own services and processes information under its own applicable terms and privacy policies. Meta's processing of information is therefore separate from Caribbean Webmasters Inc.'s processing of information.

8. Who May Receive Information

Information processed through the App may be available to the following categories of recipients:

Internal Staff

Authorized Caribbean Webmasters Inc. staff may receive operational notifications relevant to their responsibilities.

Established Third-Party Vendors

Established vendors with whom Caribbean Webmasters Inc. has a business relationship may receive operational notifications where an authorized vendor contact has opted in to receive them.

Notifications may contain aggregate information necessary for the vendor to prepare for the arrival or transportation of guests.

Technology and Service Providers

We may use third-party technology providers to host, operate, secure, maintain, or support the App.

These providers may process personal information only to the extent reasonably necessary to provide their services or fulfill legitimate business and legal requirements.

Legal and Regulatory Authorities

We may disclose personal information where required or permitted by applicable law, regulation, court order, legal process, or governmental request.

We do not sell or rent recipient telephone numbers or notification information to third parties.

9. Message Content

The App stores the content of notifications generated and sent through the system.

Stored message content may include operational information such as:

  • Aggregate guest counts;

  • Transportation or bus dispatch status;

  • Vendor information;

  • Dates and times; and

  • Other information necessary to communicate the relevant business update.

The notification content is generally not intended to identify individual guests.

For example, a notification may state that "42 guests are arriving" without identifying any of those guests.

Message content is stored so that we can:

  • Maintain an operational history;

  • Verify notifications that have been sent;

  • Investigate delivery problems;

  • Resolve questions concerning notifications;

  • Troubleshoot technical issues;

  • Maintain appropriate business records; and

  • Meet applicable legal or regulatory requirements.

We do not use stored message content for unrelated advertising or marketing purposes.

10. Phone Numbers

The App stores telephone numbers, including WhatsApp telephone numbers, belonging to authorized staff members and opted-in vendor contacts.

Phone numbers are used for purposes including:

  • Identifying authorized notification recipients;

  • Sending WhatsApp notifications;

  • Maintaining notification recipient records;

  • Managing notification delivery;

  • Maintaining the recipient's notification preferences; and

  • Troubleshooting notification issues.

Phone numbers may be retained indefinitely while the individual remains an authorized recipient and wishes to receive notifications.

When an individual no longer wishes to receive notifications, or when their business relationship with Caribbean Webmasters Inc. ends, we will review the associated contact information and remove or deactivate it from the active notification system where appropriate, subject to legitimate business or legal requirements to retain the information.

We do not sell or rent phone numbers to third parties.

11. Opting Out of Notifications

Vendor contacts receive notifications because they have an established business relationship with Caribbean Webmasters Inc. and have opted in to receive notifications.

A recipient may request to stop receiving notifications at any time.

To opt out, a recipient may contact Caribbean Webmasters Inc. using:

Once an opt-out request has been received and processed, we will take reasonable steps to stop sending future notifications to that recipient.

We may retain a limited record of the opt-out request where necessary to ensure that we respect the recipient's preference and do not inadvertently resume sending notifications.

12. Legal Basis for Processing

Where applicable, Caribbean Webmasters Inc. processes personal information on one or more lawful grounds recognized by applicable privacy and data-protection law.

Depending on the circumstances, these grounds may include:

  • The individual's consent or opt-in to receive notifications;

  • Processing necessary to administer an existing business relationship;

  • Processing necessary for our legitimate business interests;

  • Compliance with legal or regulatory obligations; and

  • Other lawful grounds permitted by applicable law.

We seek to ensure that personal information is processed only for legitimate, specific, and appropriate purposes.

13. Data Minimization

We follow a data-minimization approach.

The App is designed to collect and process only information reasonably necessary to provide its notification services.

The App does not require access to a user's personal WhatsApp account, personal WhatsApp contacts, camera, microphone, photographs, or device files.

The App does not normally transmit individual guest names or other identifying guest information through its notifications.

Instead, operational information is generally provided in aggregate form, such as the number of guests expected to arrive.

14. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy.

Phone Numbers

Recipient phone numbers may be retained indefinitely while the recipient remains an authorized staff member or an established vendor contact who wishes to receive notifications.

When a recipient is no longer authorized or no longer wishes to receive notifications, we will review the information and remove or deactivate it from the active notification system where appropriate.

Message Content

Message content may be retained for as long as reasonably necessary to:

  • Maintain operational records;

  • Verify historical notifications;

  • Resolve questions or disputes;

  • Investigate technical problems;

  • Maintain security;

  • Meet contractual obligations; or

  • Comply with applicable legal or regulatory requirements.

When personal information is no longer reasonably required, we will take reasonable steps to securely delete, destroy, anonymize, or otherwise dispose of it, subject to any legal or legitimate business requirement to retain it.

15. Data Security

Caribbean Webmasters Inc. takes reasonable technical and organizational measures to protect personal information against unauthorized access, alteration, disclosure, loss, destruction, or misuse.

Security measures may include appropriate access controls, authentication, secure communications, restricted administrative access, system monitoring, and other safeguards appropriate to the nature of the information being processed.

However, no electronic storage or transmission system can be guaranteed to be completely secure.

Accordingly, while we take reasonable measures to protect personal information, we cannot guarantee absolute security.

16. International Processing and Transfers

Because the App uses third-party technology and messaging infrastructure, personal information may be processed or stored outside Barbados.

For example, information necessary to send a WhatsApp notification may be transmitted to and processed by Meta through the WhatsApp Business Platform Cloud API.

Other technology providers used to host or operate the App may also process information in jurisdictions outside Barbados.

Where applicable, we will take reasonable steps to ensure that international transfers and processing are conducted in accordance with applicable data-protection requirements.

17. Your Privacy Rights

Subject to applicable law and any relevant exceptions, you may have rights concerning personal information that we hold about you.

These may include the right to:

  • Request access to personal information we hold about you;

  • Request correction of inaccurate or incomplete information;

  • Request deletion of personal information where applicable;

  • Object to certain processing;

  • Request restriction of certain processing;

  • Request information about how your personal information is being processed;

  • Request a copy of certain personal information; and

  • Withdraw consent where processing is based on consent.

We may need to verify your identity before responding to a request.

Certain rights may be subject to legal limitations or exceptions.

18. Complaints and the Barbados Data Protection Commission

Caribbean Webmasters Inc. aims to resolve privacy concerns directly and promptly.

If you believe that your personal information has been processed in a manner that violates applicable data-protection law, you may contact us first so that we can investigate and attempt to resolve the matter.

Where applicable, you may also have the right to lodge a complaint with the Data Protection Commission of Barbados, which is responsible for administering Barbados' data-protection framework.

Information about the Barbados Data Protection Commission can be obtained through the Government of Barbados.

19. Children's Privacy

The App is intended for business and operational communications between Caribbean Webmasters Inc., its staff, and established third-party vendors.

It is not intended for use by children.

The App does not intentionally collect individual guest information for the purpose of identifying or communicating with children.

Guest information communicated through the App is generally limited to aggregate operational information, such as the number of guests expected at a particular location.

20. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect:

  • Changes to the App;

  • Changes to our business practices;

  • Changes to the services or technology providers we use;

  • Changes to applicable laws or regulations; or

  • Improvements to our privacy and security practices.

When we update this Privacy Policy, we will change the "Last Updated" date at the beginning of the policy.

We encourage users to periodically review this Privacy Policy to remain informed about how personal information is handled.
